Please do not include detailed medical histories, clinical records or other sensitive information in your initial enquiry. If you begin therapy, we will explain separately how confidential clinical records are collected, used and stored.
Why we use your information
We use initial enquiry information to respond to you, discuss whether our services are suitable, make arrangements you request and maintain the security of our communications. For routine initial enquiries, we expect to rely on legitimate interests in managing enquiries or steps requested before entering a contract, as appropriate. If information about health or another special category is received, its handling also requires an appropriate additional condition under data protection law. We will confirm the applicable bases in our operational privacy documentation before accepting clinical information through the website.
Who may process your information
Enquiries may be handled by the relevant Relational Health clinicians and by service providers supporting website hosting, form delivery and email. The website uses Netlify for hosting and the website enquiry form. We do not sell your personal information.
Service providers may process information outside the UK. Any international transfers must be supported by the safeguards required under applicable data protection law. We will confirm the actual processors, transfer locations and safeguards before relying on the website form for sensitive enquiries.
How long we keep information
Initial enquiry messages are kept only as long as reasonably necessary to respond and administer an enquiry, subject to applicable legal or professional obligations. A specific retention schedule for enquiries and any clinical records must be confirmed before this notice is treated as final. Clinical records are governed by a separate retention policy.
